How does it work?

What is Calendar Event QR Code?

The code contains an event in the iCalendar format (RFC 5545), the same standard behind .ics files. It is a small block of text between BEGIN:VEVENT and END:VEVENT lines with fields such as SUMMARY for the title, DTSTART and DTEND for the times, LOCATION and DESCRIPTION. All-day events use dates without times.

When scanned, the phone can offer to add the event to its calendar. iPhone camera support is good. On Android the result depends on the scanner app, and some apps only show the raw text. Since every field adds characters, a long description makes the code dense, so keep notes brief and put extra details on a web page.

When should you use it?

  • Adding a webinar, conference session or open day to a poster so people can put it in their diary.
  • Sharing a class schedule, a match date or a recurring meeting time on a noticeboard.

The event details are encoded in your browser and never sent to a server. Anyone who scans the code can read the title, place and description, so leave out anything private.

Frequently Asked Questions

Does every phone add the event automatically?

No. iPhones handle calendar codes well. On Android it depends on the scanner app, and some only show the text. Test on both before printing, and add the date in plain words next to the code as a fallback.

How are time zones handled?

The event carries the times you enter, and the phone shows them in its calendar. After scanning, always check that the date and time shown look right, particularly for events attended by people in different time zones.

Can I make a recurring event?

The tool creates a single event with a start, an end and an optional all-day flag. Repeat rules are not offered, so create one code per date or use a page listing the dates.

Can I update the event after printing?

No, the code is static. If the date or place changes, generate and print a new code, or mention the change clearly on the printed material.
